Responsibilities

Job Purpose

Position Overview: Manager, Workplace Administration is responsible for overseeing and managing the team of executive and administrative assistants at Pattern Energy. This position reports into the Director, Workplace Operations and Experience.  This newly created role requires a combination of strong leadership skills, excellent organizational abilities, and effective communication to ensure efficient administrative processes and support the overall functioning of the company.

 

Key Accountabilities

 

  1. Administrative Operations Management:
    • Develop and implement administrative policies, procedures, and systems to streamline operations and improve efficiency.
    • Coordinate and supervise administrative staff, ensuring smooth functioning of day-to-day activities.
    • Monitor and evaluate administrative processes to identify areas for improvement and implement necessary changes.
    • Serve as back up or “floater” administrative support as needed
  2. Budgeting and Resource Management:
    • Develop and manage the administrative budget, tracking expenses, and ensuring cost-effective practices.
    • Identify opportunities to optimize resource allocation, such as staffing
    • Negotiate contracts and agreements with vendors, service providers, and contractors to secure favourable terms.
  3. Staff Supervision and Development:
    • Recruit, hire, train, and supervise administrative staff, providing guidance, support, and performance feedback.
    • Conduct regular 1:1 meetings, group meetings and mid/end of year performance evaluations and develop professional development plans for team members.
    • Plan and facilitate annual EA-AA offsite
    • Foster a positive work environment, promoting teamwork, collaboration, and continuous learning.
  4. Communication and Coordination:
    • Serve as a liaison between different departments, senior management, and external stakeholders.
    • Communicate and implement organizational policies and procedures to ensure compliance and understanding.
    • Facilitate effective communication channels within the administrative team and across the organization.
    • Coordinate meetings, events, and travel arrangements for executives or teams as required.

Qualifications

Experience/Qualifications/Education Required

  • Bachelor's degree in business administration, management, or a related field (or equivalent experience).
  • Proven experience in administrative management, preferably in a supervisory or managerial role.
  • Strong organizational, problem-solving, and decision-making abilities.
  • Excellent interpersonal and communication skills, with the ability to work effectively with diverse stakeholders.
  • Proficiency in office software applications (e.g., Microsoft Office suite, project management tools).
  • Knowledge of budgeting and financial principles, with the ability to analyze data and prepare reports.
  • Leadership qualities, including the ability to motivate and develop a team.
  • Positive, can-do attitude with an ability to multi task and manage an assortment of personalities

The expected starting pay range for this role is $103,000 - $139,000 USD. This range is an estimate and base pay may be above or below the ranges based on several factors including but not limited to location, work experience, certifications, and education. In addition to base pay, Pattern’s compensation program includes a bonus structure for full-time employees of all levels. We also provide a comprehensive benefits package which includes medical, dental, vision, short and long-term disability, life insurance, voluntary benefits, family care benefits, employee assistance program, paid time off and bonding leave, paid holidays, 401(k)/RRSP retirement savings plan with employer contribution, and employee referral bonuses.
