    Responsibilities

    The Legal Assistant role will perform diverse supportive administrative duties involving high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, organizational skills, discretion and judgement.  The Legal Assistant interacts with employees at all levels of the organization including interactions with the Leadership Teams and supports the Assistant General Counsel, Corporate and the corporate paralegal team.

     

    The hours for this position are 8:30 a.m. to 5:30 p.m. but can be adjusted for an earlier or later start time.  In addition, the Legal Assistant must be willing to work overtime hours to meet project deadlines when required.

    Key Accountabilities

    • Assist Assistant General Counsel, Corporate and corporate paralegals with administrative tasks, including KYC requests.
    • Manage internal Legal Queue to ensure assignment and completion of internal legal requests.
    • Manage (including relevant filing of original documents) corporate minute books for all public and private entities.
    • Input corporate data and maintain hCue Enterprise platform established through CT Corporation.
    • Manage non-solicitation database.
    • Assist with assembly and distribution of board books for public company Board of Directors and related board committees.
    • Scan corporate documents and upload into the legal document management system and deliver for upload into the company document management system.
    • Provide the following additional administrative/clerical duties:
      1. Fax, copy, mail, and FedEx documents/packages
      2. Prepare and handle check requests for all subsidiary filings
      3. Processing and securing approvals for legal services through AX system.
    • Other special projects as assigned.

    Qualifications

    Education/experience/Qualifications Required

    Educational Requirements

    • A Bachelor’s Degree or equivalent combination of education and experience.

    Work Experience

    • 1-2 years legal assistant experience.
    • Notary certification, a plus.

    • Ability to handle the stress of functioning within an active legal department, meeting deadlines, anticipating quickly changing needs and exercising judgement regarding a wide range of informational inputs including conflicting priorities/work overflow.

    • Must be able to be entrusted with sensitive, privileged and confidential information.

    Technical Skills

    Advanced knowledge and experience with Microsoft Word and Excel, PowerPoint, Workshare Compare, Adobe Acrobat, Outlook and Internet Explorer.
