    The Receptionist is responsible for providing front-line administrative and clerical support while also serving as a critical representative of the company, as he/she will generally be the first person to greet employees and clients on a daily basis, in-person and on the phone. The position’s hours are 8:30 a.m. to 5:30 p.m. and its specific duties are outlined below. This is a temporary assignment expected to last up to six months.

    Key Accountabilities

    The key responsibilities will include as a minimum the following:

    • Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate company employees.
    • Answers and screens incoming calls on a multi-line telephone system, determines purpose of the call and directs relevant callers to the appropriate personnel or department.
    • Maintains the company main line messaging system, retrieves voicemail messages and delivers messages to employees when appropriate.
    • Provides various administrative support services to assist Office Support team as a “floater” as needed with: scheduling executive meetings, reserving conference rooms, ordering food for monthly employee events, , , archiving business contacts in v-card database, scanning/photocopying/faxing and filing documents, creating presentation booklets and binders, preparing expense reports etc.
    • Assists the Office Services Coordinators in various corporate support areas such as: daily company-wide mail receipt, collation and distribution; preparation of outgoing first-class and certified mail; errands to local post office and FedEx office; acceptance of incoming packages from delivery and courier services; back-up kitchen maintenance; conference room set-up for catered meetings; ordering company supplies etc.


    Experience/Qualifications/Education Required

    Educational Experience

    Associate’s (AA) Degree from an accredited college; or 1-year Certificate from a technical/vocational school with an administrative or secretarial focus.

    Required Work Experience

    The following criteria will be used as a basis for Pattern to select a qualified applicant:

    • Previous experience (1-3 years) in a similar role preferred.
    • Minimum of 6 months of experience and/or training with an Associate’s Degree.
    • Minimum of 1 year of experience and/or training with a technical/vocational Certificate.
    • Equivalent combination of education and experience (e.g. Bachelor’s Degree and less than 6 months experience/training)
