The Payroll and Benefits Analyst is responsible for the processing and administration of the day to day payroll operations in the United States and Canada and the accuracy of the payroll system to deliver the company's semi-monthly payrolls and benefits programs. The Payroll and Benefits Analyst will act as backup for the Manager, Payroll and Compliance, be a resource to employees and perform related duties as required.

Duties and Key Accountabilities

Payroll 75%:

  • Prepare, process and audit full semi-monthly payroll cycle for the United States using ADP Workforce Now and for Canada using Ceridian for Exempt and Non-Exempt employees in four payroll entities. Total employee population of 425 and growing!
  • Process payroll inputs into ADP Workforce Now PayData batches including payroll adjustments, corrections and miscellaneous entries. Prepare and submit Excel Workbook grid for Ceridian Canada Payrolls.
  • Manage employee timecard review process, audit to ensure compliance with Pattern timekeeping and absence policies, resolve discrepancies and import hours into PayData.
  • Download Payroll output, audit and save in Payroll e-folders.
  • Provide payroll output reports to Accounting.
  • Download and review quarterly tax filings.
  • Process manual checks as needed for terminations, bonuses and lost checks.
  • Responsible for ensuring compliance with local, state and federal payroll regulations and respond to notices and inquiries from government agencies.
  • Respond to employee payroll related inquiries with a focus on superior customer service.
  • Perform periodic internal audits of various payroll areas and prepare materials for external and internal auditors.
  • Generate reports for finance, human resources and third party vendors using ADP Reporting Tool.
  • Assist in preparing amendments, W-2C’s and follow up on tax resolution issues.
  • Ensure compliance with Internal Audit and SOX narratives for payroll operations.
  • Provides support for special projects as assigned by the Payroll Manager.

  • Assist in administering employee benefits.
  • Provide exceptional customer service to all Pattern employees and their dependents.
  • Gain and maintain a thorough understanding of Pattern’s benefit programs, coverages and policies..
  • Process employee and dependent benefit enrollments and changes (explain/walk through registration and claims processes for new participants).
  • Educate, explain and answer employee questions regarding all benefit programs including but not limited to inquiries about health, dental, vision, life, ad&d, std, ltd, healthcare and dependent care FSAs, EAP, 401(k) and employee paid time off.
  • Reach out to employees and benefit providers/carriers as soon as possible when administrative errors are discovered and resolve them in a timely manner.
  • Escalate complex benefits issues/questions to Manager, Benefits and/or Benefits Broker.
  • Ensure that terminated employee benefits are cancelled on a timely basis.
  • Audit benefit enrollments/changes against payroll and perform reconciliations as required.
  • File and scan employee benefits related information into soft copy and hard copy files.
  • Update COBRA administrators for employee new hires, changes and
  • Conduct quarterly COBRA audits.
  • Assist with annual open enrollment process.
  • Assist with scheduling and coordinating resources for employee benefit and perks on-site meetings.

Performs other duties as assigned.


Experience/Qualifications/Education Required


  • College degree. BA/BS in Business, Accounting, Finance or HR, preferred.
  • 5+ years of US multi-state and Canada payroll experience.
  • Strong knowledge of federal, state and local wage, hour, tax regulations and laws.
  • Continuing education to stay abreast of regulatory and professional changes.
  • Proficient in ADP Workforce Now v.12 or higher.
  • Advanced Excel skills including VLOOKUP and Pivot Tables.
  • Membership in APA and other Payroll related Professional Organizations, CPP a plus.
  • Experience with federal, state, local statutory and worker's compensation payroll audits
  • Knowledge of Sox controls.
  • Excellent verbal and written communications skills.
  • Strong ability to maintain confidentiality for payroll and other employee personal information.
  • Detail oriented with ability to produce accurate and consistent results under pressure with tight deadlines.
  • Ability to prioritize and flexibility to meet changing department and company priorities and business needs.
