Responsibilities

JOB PURPOSE

This position will have responsibility for providing daily administrative support for the engineering and construction group and the Toronto office.

 

Key Accountabilities

 

The key responsibilities will include as a minimum the following:

  • Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate company employees
  • Answers and screens incoming calls
  • Assist Office Services: Order supplies and snacks for office, incoming and outgoing mail and shipping, manage conference room calendar, order office IT related equipment, assist with basic IT troubleshooting triage
  • Perform office facility coordination
  • Coordination of meetings and special events and functions
  • Takes minutes in team meetings
  • Works closely and collaboratively with other staff in Toronto office as required
  • Coordinate, schedule and confirm travel arrangements (flights, hotels, transportation), ensure travelers supported have the necessary travel documents and create travel itineraries as necessary.
  • Prepare expense reports, ensuring the proper company policies and procedures are followed.
  • Invoice processing and coordination with Accounts Payable.
  • Manage office and conference room calendar
  • Other special projects as assigned.

Qualifications

Experience/Qualifications/Education Required

Educational Experience

High school diploma required; associates’ degree or higher preferred.

Required Work Experience

  • 3-5 years’ experience minimum.
  • Must have advanced proficiency in Excel, Word, PowerPoint, and Visio.

  • Must be professional, personable, approachable, courteous, tactful and diplomatic.
  • Must be able to handle highly confidential information discreetly.
